Rent Receipt Format

A monthly rent receipt format with the landlord PAN and revenue-stamp notes that HRA claims require.

A rent receipt is the tenant's proof that rent was actually paid — and for salaried tenants it is the document their employer asks for when allowing the HRA exemption. A complete receipt names both parties, the premises, the period, the amount and the mode of payment.

Two details trip up most HRA claims: the landlord's PAN must be reported to the employer where annual rent exceeds ₹1,00,000, and cash payments above ₹5,000 conventionally carry a revenue stamp across which the landlord signs. The format below builds both notes in, so a stack of monthly receipts survives payroll scrutiny.

When to use this format

  • Issuing (or collecting) monthly proof of rent paid against a tenancy
  • Supporting a salaried tenant's HRA exemption claim with the employer
  • Documenting cash rent payments with a revenue stamp and signature
  • Maintaining a payment trail alongside the rental agreement for deposit settlement later

General format for reference — get it professionally drafted for your specific case.

Employers may prescribe their own HRA proof requirements (rental agreement copy, bank trail, landlord PAN declaration) beyond the receipt itself. For cash rent, keep amounts consistent with the agreement — mismatched receipts are the commonest reason HRA claims are questioned.

Frequently asked questions

When does the landlord's PAN have to be given?

For the HRA exemption, employers must collect the landlord's PAN where the employee's annual rent exceeds ₹1,00,000. If the landlord has no PAN, a declaration to that effect in the employer's prescribed form is taken instead.

Is a revenue stamp mandatory on every rent receipt?

The convention under the stamp law is a revenue stamp on receipts for cash payments above ₹5,000, with the signature running across the stamp. Receipts for bank-transfer or UPI payments do not need one — the bank trail is the stronger evidence anyway.

Can one receipt cover several months of rent?

Yes — state the full period covered and the total amount. Monthly receipts are still the cleaner practice for HRA, since payroll teams match receipts month-wise against the exemption computation.

Do I also need the rental agreement for an HRA claim?

Most employers ask for the rental agreement once and receipts periodically; some also want proof of payment for higher rents. Keep agreement, receipts and bank trail consistent — the three documents are checked against each other.
